The Backbone of Next-Generation Trading Firms

A firm has a record month for challenge sales. The marketing team knows which campaigns worked. The founder knows how much revenue came in. Everyone can see the number going up.

A few weeks later, the payout queue grows too.

That is not necessarily bad news. Successful traders should be paid. But management needs to understand why payouts are rising. Are the programmes working as intended? Has the firm attracted a different type of trader? Is exposure concentrated in a particular group of accounts? Are the same trading patterns appearing repeatedly?

Answering those questions takes more than a payout total. It takes reliable risk controls, access to the activity behind each account, and people who know how to interpret the wider picture.

Axcera and RUBIK have worked together for almost a year to help firms do that. Axcera provides the technology for monitoring accounts, enforcing trading rules and managing risk workflows.RUBIK provides a professional risk desk for prop firms, with services ranging from specialist support to managing the entire desk. Its team applies its own methodology to daily risk management.

RUBIK has recently completed a direct integration with Axcera’s technology. It makes that collaboration more closely connected and gives us an opportunity to explain how the two teams work together.

When Sales Stop Telling the Whole Story

Revenue tells an operator what traders bought. It does not explain how those traders behave once their accounts are active or whether the economics of a programme are developing as expected.

Consider an illustrative firm generating $1 million in monthly challenge revenue. If payouts rise from 20% to 25% of that revenue, the difference is $50,000 in a month. If the change continues for a year, that amounts to $600,000.

Those numbers show why the question matters, but they do not provide an answer. The additional payouts might come from more traders succeeding. They might reflect a change in the programmes being sold or in the way traders are using them. An operator needs to understand the cause before deciding whether anything should change.

The answer may sit across several parts of the business: account history, trading activity, rule events, payout requests and the performance of different programmes. Looking at each piece separately can make an important pattern difficult to see.

This becomes especially challenging as volumes grow. A reviewer may understand one account perfectly well while missing that similar activity is developing across hundreds of others.

What Axcera Provides

Risk management is already an important part of Axcera’s Prop CRM platform. Firms use our technology to configure and enforce trading rules, monitor account activity, track breaches and manage payout workflows. Operators can see what has happened on an account and work with the data generated throughout the trader journey.

These capabilities give a firm control over how its programmes operate. A drawdown rule, for example, needs to be calculated and applied correctly across accounts. A payout reviewer needs access to the relevant account history. Management needs visibility into activity across the business rather than relying on individual spreadsheets.

As firms grow, those systems become more valuable. They help teams apply rules consistently and make information available when it is needed.

But data does not interpret itself. A dashboard can show that payouts have increased. It cannot, on its own, decide whether that increase is healthy, whether a programme needs adjustment or whether a pattern of trading merits investigation. Those questions call for experience, analysis and an understanding of the firm’s commercial model.

That is the work RUBIK brings to the partnership.

Why We Work with RUBIK

We have seen firms approach risk in different ways. Some build internal teams. Others rely on founders or operations staff to review unusual activity alongside their other responsibilities. The right structure depends on the firm, but specialist knowledge becomes increasingly important as programmes and trader volumes expand.

We recommend RUBIK to licensees looking for that specialist perspective because we have seen the quality of its work in practice. Its team looks beyond an isolated trade or payout request to examine trader behaviour, account activity, programme performance and exposure together.

That wider view can change the question an operator asks. A large payout might initially draw attention, but the more useful question is whether the trader followed the rules and whether the result fits what the firm expected from the programme. Conversely, an individual account may look unremarkable until its activity is considered alongside other accounts.

RUBIK helps firms investigate those patterns and turn the findings into operational decisions. It can complement an internal risk team with specialist expertise or manage the entire risk desk, depending on the firm’s needs.

RUBIK founder and CEO Ruben Abitbol has worked with and observed prop firms using different technology providers. His view of Axcera is grounded in that work:

“I have also seen firms scale successfully with Axcera, which has given us real operational benchmarks rather than simply a theoretical view of the platform.”

For us, that practical perspective is a large part of the relationship. RUBIK understands what information a risk team needs from the technology and how that information can be used in a live operation. Axcera’s data points and the way they are organized help RUBIK navigate account activity and apply its methodology more effectively in daily risk operations.

What the New Integration Changes

After almost a year working together, RUBIK has now integrated directly with Axcera’s technology. Relevant data from our platform can connect with RUBIK’s own analytics and review workflows.

Consider a payout review. The request shows an amount and an account. To understand it, a reviewer may also need the trader’s history, the rules that applied, earlier account events and activity across the wider business. Bringing that context into RUBIK’s workflow reduces the need to assemble it manually for each case.

The same connection helps its team examine patterns across larger numbers of accounts. That matters to a firm that has grown beyond the point where every question can be answered through a one-off investigation.

A rule event or an unusual pattern gives a reviewer something to examine; it is not a verdict on a trader. Axcera supplies the controls and connected information. RUBIK applies its own methodology and judgment to daily risk management, with its responsibilities depending on the scope of its engagement with the firm.

That is the advantage of connecting the two: each team can do its part with better access to the work of the other.

Better Risk Decisions Support Better Firms

Risk management is sometimes described as a way to reduce payouts. That misses an important part of the job.

A firm needs to identify genuine concerns, but it also needs to pay legitimate traders fairly and without unnecessary delay. When reviewers have to piece together an account’s history from several systems, even routine decisions can take longer. When management does not understand why a programme is performing a certain way, it may make broad changes that affect every trader.

Clear controls and informed analysis allow a more precise response. A firm can investigate what warrants attention, understand the economics of its programmes and make decisions it can explain to its team and customers.

That also gives operators more confidence to grow. New programmes, platforms and larger trader bases bring more information to assess. The firm needs its technology to capture and organise that activity, and it needs the expertise to draw useful conclusions from it.

Bringing Our Work into the Open

Axcera and RUBIK have already spent almost a year working together. The recent integration is the next step in a relationship built around a shared observation: growing prop firms need both dependable risk technology and a sound understanding of what their data is telling them.

Axcera provides the platform, controls and visibility. RUBIK brings a professional risk desk and its own methodology for managing risk every day.
